Some admin users have access to Users under Users & Access, where they can invite new administrators, remove administrators, and manage permissions for existing users. To the glossary for terms.
Two Ways to Create New Admin Panel Users:
New Permission
Step 1: Create a new user and fill in their name and email (in lowercase).
Step 2: Click on your newly created user.
Step 3: You can skip selecting any Legal Entities. This option will be removed shortly.
Step 4: Choose an access group.
Step 5: Select the features the new user should be able to administrate (you can find a glossary of permissions further down in the article).
Step 6: Save.
Note: No invitation email is sent automatically. You’ll need to inform the person yourself. See the suggested text below.
Copy Permissions from Another User
If you want the new user to have the same access as yourself or someone else in your organization, you can copy a user. If there are specific features the new user should not have but the original user does, you can copy permissions and then edit the new user to deselect the few that differ. This method is faster than the one above.
Step 1: Click on the three dots next to a user and select Copy User – the new user will then have the same permissions.
Step 2: Fill in the name and email (in lowercase).
Step 3: Click Save.
Tip: Here's a suggestion for explaining to the new user how they can access the admin panel:
"You can easily log in with your email address on this page: https://admin.avy.se/. The first time you log in, you’ll need to click on 'Forgot your password?' and enter your email address. A reset email will then be sent to the specified email address with a link to set your password.
If you don’t receive the email, please check your spam folder in case it ended up there. The platform works best with Google Chrome or Microsoft Edge."
Glossary for administrator permissions in the admin panel:
Tenants = Access to the view called "Tenants" where you can see lists and detailed views for all tenants and users in the Avy platform – registered or not.
Dashboard = Access to a dashboard under "Tenants" called "Insights" in the menu. The dashboard displays adoption and engagement in the tenant platform for all properties in your environment. Note that the dashboard is not connected to access groups.
Invoices = Access to the view called "Invoices" where you can see the invoices registered in the Avy platform.
Tenants invoice in app = Under "Tenants" and the detailed view of a specific user, you have the option to change the tenant’s setting for receiving invoices in the platform or not.
Tenant contracts = Permission to export a list of tenant's contract data.
Simulate tenant = Allows you to log in to the platform as a specific tenant. This is done from the tenant's detailed view.
Info center = Access to the view "Library" – "Information items" to manage useful tenant- and property information to be displayed in the platform.
Info center category = A subcategory of the Library. Here, you can create and manage categories to which the information items in the Library can be linked.
Notice board = Access to "Notice board" under the "Communication" section.
Booking = Access to the "Booking" feature within the "Management" section. This permission allows you to create and manage bookable resources, as well as view and track existing bookings.
Community = Access to "Community" under the "Communication" section. This permission allows creating and managing communities, viewing posts and comments, and communicating yourself in the forum.
Community author name = Allows you to post and comment in the community using your company name, e.g. "The property company". Without this permission, you can only send messages with your personal name as the sender.
Product catalogue, Productcatalogue, Product catalogue product, Product catalogue category = All four permissions are required to create and manage your own products and services in your product catalogue. To manage products, an administrator needs all permissions with "Product catalogue" in their name.
Provider = Ability to create suppliers to be linked to offers or products in your product catalogue.
AI chatbot = Ability to manage the AI chatbot/Co-Pilot. This includes the ability to activate information articles and notice board messages for the AI using the toggle "Used by chatbot".
Tags = AI Co-Pilot: Grants permission to create and manage Tags linked to information articles in the Library and Davy conversations.
Contact form = Permission to view incoming cases from tenants and manage them if using Avy’s native case management.
Contact form default assignee = Linked to Avy’s native case management: permission to determine which person who will automatically be assigned to incoming cases from tenants in a specific property. To access this module, you must also have the "Contact form" permission.
Contact form type = Ability to create and edit contact forms (e.g., Issue reporting, General questions to customer service, Rent inquiries, etc.). To access this module, you must also have the "Contact form" permission.
Navigation items = This permission allows you to create and manage Navigation Items that define which features and services will be displayed in the platform, where they will be located, and how they will look and function.
Integration connectors = Ability to create and manage integrations, such as integrations with property systems, case management, bookings via iframe, etc. Contact us at Avy for questions about this.
Embedded integrations = Management of integrations set up via Avy’s Embed framework, e.g., IMD solutions, contract terminations, your own tenant services, etc. Contact us at Avy for questions about this.
Usermanagement = Permission to create and manage users in the admin panel.
Access group management = Permission to create and manage access groups.
Accessy = Allows the user to connect booking resources to Accessy.
Parakey = Allows the user to connect booking resources to Parakey.
